How to Set Up an Effective Email Flow for Your Fundraisers
How do you make sure your fundraisers reach their goal - and limit the number of fundraisers, that never really get off the ground? A personal story combined with a well-designed email flow that activates, engages and inspires your fundraisers is the formula that helps your fundraisers succeed.
With Time2Give’s ready-made email templates, half the work is already done for you. All you need to do is adjust the text so it fits your organization and highlights your impact.
We recommend building your flow around these nine emails. For each one, add your own organizational touch: explain your mission, share impact stories, and connect the fundraiser’s effort to the change they are helping to create.
1. Welcome email when fundraiser is created
Confirms the fundraiser’s page has been created, thanks them for getting started, and sets the tone for their experience. Immediate acknowledgment builds commitment.
2. Notification to fundraiser when a donation is made
Keeps fundraisers motivated by celebrating each new donation. Real-time recognition gives them a sense of progress and encourages them to keep sharing.
3. Receipt for donor
Builds trust and stewardship. Confirms the gift was processed, thanks the donor immediately, and leaves a positive impression for future giving.
4. Tips for fundraiser one day after creation
Provides early guidance to build momentum. Share practical tips (such as making a self-donation or spreading the word) to help fundraisers take their first steps successfully.
5. Congratulations when fundraiser reaches 50% of goal
Recognizes progress at the halfway mark and motivates the fundraiser to keep pushing toward the finish line.
6. Congratulations when fundraiser reaches 100% of goal
Celebrates full success and expresses gratitude. Recognition makes fundraisers proud and increases the chance they’ll return to fundraise again in the future.
7. Welcome email when team fundraiser is created
Acknowledges and encourages team leaders. Since they often recruit and motivate others, this message reinforces their role and helps them start rallying their team.
8. Follow-up if no donations after 2 days
A gentle reactivation nudge for fundraisers who haven’t yet received a donation. Offers encouragement and simple tips to help them get started.
9. Follow-up if no donations after 5 days
A stronger reactivation message that takes a supportive tone (“can we help you?”) and works as a checkpoint to prevent disengagement.
Your practical step-by-step guide
Here’s your practical step-by-step guide to get your e-mail flow live:
- Log in with your Time2Give admin profile.
- Navigate to the Campaigns menu and choose the relevant campaign
- Go to the Mailflow tab. This is where you manage all automated campaign emails.
- Click “Copy new email from template.”
- Start with email number 1 (Welcome e-mail). Adjust the text so it fits your organization and save changes.
- Send a test e-mail. Use the test button at the bottom of the screen.
- Read the test on your phone — most emails are opened on mobile.
- When you are happy with your e-mail, click Active. The e-mail now turns green in the overview.
- Return to the Mailflow tab and add the next email templates.
- Finally, create your own fundraiser, so you can experience the e-mail flow yourself.
- Learn, adjust, and improve.
